# How to capture leads with a web form

A web form turns your website into a lead machine. Build one in Stacks in a couple of minutes, paste it onto any page, and every visitor who fills it out lands in your CRM automatically — as a new contact, tagged, assigned, and dropped into your pipeline. No developer, no spreadsheet, no copy-and-paste.

## Before you start

- You'll need to be an **admin or manager** — those two roles can create and manage web forms. (Regular team members and view-only users can't.)
- A **website or landing page** where you can paste a snippet of HTML or a `<script>` tag. No site of your own? You can still point an existing form at the hosted endpoint Stacks gives you.
- Nothing to unlock: **CRM is the base module** and is always on, so web forms are ready to use out of the box.
- *Optional:* to send double opt-in confirmation emails for a newsletter form, connect your email first under **Settings → Email**.

## Step by step

1. **Open Web Forms.** In Stacks, click **Web Forms** (the 📋 item) in the left menu, then **+ Create Form**.
2. **Name your form.** Give it a name like *Contact Us*, *Get a Quote* or *Newsletter Signup*. The name doubles as the form's title, and Stacks turns it into a short URL slug for you automatically.
3. **Pick your fields.** Tick the fields you want to collect — **First name, Last name, Email, Phone, Company** and **Message**. **Email is always on**: it's how Stacks matches and de-duplicates people.
4. **Decide what happens after someone submits.** Write a success message (or set an HTTPS redirect URL). Optionally auto-tag every new contact, auto-assign them to a teammate, and email yourself on each submission. Two switches change the outcome: **Email signup form** records the contact as a marketing subscriber, and **Support intake form** opens a support ticket instead of a sales deal.
5. **Save, then grab the embed code.** Click **Create Form**. Open the form again and you'll find three ready-to-use options under **Embed Code**: a styled **HTML embed**, a lightweight **JavaScript** snippet, and the raw **API endpoint** (GET/POST). Copy one onto your website — no coding required.
6. **Watch the leads roll in.** Each submission creates a new contact — or updates an existing one matched by email — tags it, assigns it, and for a standard form drops a deal into the first stage of your default pipeline. The Web Forms list shows a live submission count for each form.

## Good to know

- **No duplicate contacts.** A repeat submission from the same email **updates** the existing contact and fills in any blank fields (it won't overwrite what's already there) — so you never get copies of the same person.
- **Companies come along.** Include a *Company* field and Stacks will find-or-create that company and link the contact to it automatically.
- **Deals appear on their own.** A standard form drops each new lead into the first stage of your **default pipeline**, titled "Lead: [name] ([form name])", so it shows up on your Kanban. (This is skipped for email-signup and support-intake forms.)
- **Bring your own fields.** If you hand-code the form, any extra fields — like "How did you hear about us?" — are saved into the contact's notes, so nothing gets lost.
- **Turn a form on or off** anytime with the Active/Inactive toggle. An inactive form stops accepting submissions.
- **Built-in spam guard.** Each form accepts up to **10 submissions per minute, per IP address**.

## Frequently asked

Do I have to build the form myself?

No. Stacks generates a styled **HTML form** and a **JavaScript snippet** you can copy-paste as-is. Prefer your own design? Point your existing form's action at the endpoint Stacks provides, or POST JSON to it.

What happens if the same person submits twice?

Stacks matches on email, **updates** the existing contact (filling any empty fields and appending their message to notes), and skips creating a duplicate.

Can a form open a support ticket instead of a sales lead?

Yes — tick **Support intake form** and every submission opens a ticket. **Email signup form** works the same way for newsletters: it records marketing consent and skips the sales deal.
