How to add and manage contacts in Stacks
Adding a contact to Stacks takes seconds. Type in a name and email, attach a company if you have one, set a status and a couple of tags — and it's saved. Every contact lives in one shared record you can edit, tag, merge or hand off to a teammate any time. It's free, and there's no cap on how many you can keep.
Before you start
- Only have a name and email? That's enough. Everything else — company, address, tags, source — is optional and easy to fill in later.
- Got a whole list to bring over? Add them all at once instead — see Import your contacts.
- You'll need permission to create contacts. Admins, managers and team members can add and edit; only view-only users can't (and deleting or merging is limited to admins and managers).
Step by step
- Open the New Contact form. In Stacks, go to Contacts in the left menu and click + New Contact in the top right. (On an empty list, the + Add Contact button does the same thing.)
- Enter the basics. Fill in First name and Email — both are required and marked with a * — then add a Last name and Phone if you have them.
- Add company and work details. Choose a Company from the dropdown, or click + Add new company to create one on the spot without leaving the form. Add a Job title and a mailing Address if it's useful.
- Set status, source, owner and tags. Pick a Status (Active, Lead, Customer or Inactive), a lead Source (Website, Referral, Cold call, Social, Event, Advertisement or Other), and Assign the contact to a teammate. Click any Tags you want, fill in custom fields, and jot a note.
- Save the contact. Click Create Contact. Stacks checks for possible duplicates first — if it finds a likely match by email, phone or name, it shows a warning so you can review it, then save anyway if this really is someone new. You'll land on the new contact's page.

It's free. Adding and managing contacts — including duplicate detection, merging and CSV export — is free on every plan, with no limit on how many contacts you store. Optional AI helpers use workspace credits, including the initial Free allowance. These include the AI Lead Score and AI Assistant on a contact's page.
Good to know
- Duplicate detection is built in. When you save, Stacks compares the contact against your list by email (exact), phone and name. If it spots a likely match, it warns you before creating a copy — so your list stays clean.
- Add a company without leaving the form. The + Add new company box creates the company and links it to the contact in one step. Existing companies just show up in the dropdown.
- Custom fields carry over. Any custom fields you've set up appear right on the form, so you can capture the details that matter to your business.
- Marketing consent. A contact you add by hand is set to Subscribed for email marketing — this is the application’s subscription status, not proof of permission to send marketing. You can switch that to Unsubscribed on their record any time.
After you add a contact
Open any contact to see everything about them in one place — their info, open deals, tasks, notes and a full activity timeline. From there you can:
- Edit any field, add notes inline, and attach deals and tasks.
- Merge duplicates (admins & managers) — this keeps the contact you're on and moves the other's deals, invoices, appointments, notes and history onto it, then removes the duplicate.
- Delete a contact (admins & managers). Its deals aren't deleted — they're simply unlinked.
- With available workspace AI credits, use the AI Lead Score to rate a contact hot, warm or cold with reasons, and the AI Assistant to draft a follow-up, summarize the history, or suggest a next step. Both are button-triggered. Lead scoring saves a score and reasons; assistant drafts need review. Sending is a separate action.
Frequently asked
Is there a limit on how many contacts I can add?
No — contacts are unlimited and free on every plan. Add them one at a time here, or import a whole CSV at once.
What if the contact already exists?
When you save, Stacks checks by email, phone and name and warns you about likely duplicates. You can open the existing record, merge them, or confirm it's genuinely a new person and save anyway.
Can I add the company at the same time?
Yes. Use + Add new company on the form and Stacks creates the company and links it to the contact in one step. Companies you've already added appear in the dropdown.
