How to organize contacts with tags in Stacks

CRM · about 3 min · updated Aug 2026

Tags are color-coded labels you stick on contacts — VIP, Hot lead, Newsletter, Past client — so you can spot and group people at a glance. In Stacks you create a tag once, then apply it to any contact, one at a time or to a whole batch at once. It's free on every plan.

Before you start

Step by step

  1. Create your tags. Go to Settings → Tags and click + Add Tag. Give the tag a name (like VIP or Hot Lead), pick a color with the color swatch, and hit Save. Repeat for each label you want. Tag names are unique, so Stacks won't let you create two with the same name.
  2. Open a contact. Go to Contacts in the left menu and open the person you want to label — or click + Add Contact to create a new one.
  3. Choose tags. Scroll to the Tags section on the contact. Your tags appear as clickable chips — click one to apply it, click it again to remove it. Need a tag that isn't there yet? Use the Manage tags link to add it in Settings first.
  4. Save the contact. Click Save. The tags now show up as colored badges on the contact, using the color you picked, everywhere that contact appears.
  5. Tag contacts in bulk (optional). On the Contacts list, tick the checkboxes next to several people, choose Add tag from the Bulk action menu, pick a tag, and apply. Stacks adds that tag to everyone selected in one pass (and skips anyone who already has it).

Tags are free. Creating tags, color-coding them, applying them to contacts, and bulk-tagging are all included on every plan — there's nothing to upgrade for.

Good to know

Frequently asked

Do I have to create a tag before I can use it?
Yes. Tags live in Settings → Tags, and only tags you've created show up in the picker on a contact. If the picker is empty, use the Manage tags link to add your first one.
What happens to my contacts if I delete a tag?
Deleting a tag removes the tag definition, but contacts that already carry it keep the label — it just loses its saved color. Recreate a tag with the same name to bring the color back.
Can I tag a lot of contacts at once?
Yes. On the Contacts list, tick the ones you want, choose Add tag from the Bulk action menu, pick the tag, and apply — it goes on everyone you selected.
