How to create and manage tasks in Stacks

Tasks & Time · about 3 min · updated Aug 2026

Tasks in Stacks are a simple to-do list built right into your CRM. Jot down what needs doing, give it a due date and a priority, and check it off when it's done — with everything tied to the same contacts and deals you already work in. This guide walks through creating a task and managing your list.

Before you start

Step by step

  1. Open Tasks. In the left menu, click ✅ Tasks. Your list opens on the My Tasks tab — everything assigned to you or that you created.
  2. Start a new task. Click + Add Task at the top of the list. A quick-add row slides open, ready for you to type.
  3. Fill in the details. Type the task into "What needs to be done?", pick a due date (it suggests tomorrow, and you can clear or change it), and choose a priority — Low, Medium, High or Urgent.
  4. Click Add. Stacks saves the task and assigns it to you by default. It appears in your list right away, sorted by due date.
  5. Check tasks off. When something's done, tick the checkbox on its left. It's marked complete, styled with a line through it, and moves under the Completed tab.
  6. Filter, find, and clean up. Switch between My Tasks, All Open, Overdue and Completed to focus your list. To remove a task, click the 🗑️ trash icon and confirm.
💡
Tasks are completely free. Creating, completing, assigning and organizing tasks is included for your whole team at no cost — there's no per-task limit and nothing here is gated. AI Pro ($99/mo) adds AI and priority support, not task features, so you never need it just to run your to-do list.

Good to know

Frequently asked

Is this the same as time tracking?
No. Tasks are your to-do list. Logging billable time is a separate feature that lives in the Invoicing module under Projects & time — it tracks hours you can turn into an invoice, which is different from checking off a task.
Can I assign a task to a teammate?
New tasks from the quick-add form are assigned to you. Tasks stay tied to the contact or deal they were created from, so your team can see the related work on that record's timeline.
What happens to a task when it's overdue?
Nothing is deleted — it stays open and its due date turns red, and it's collected under the Overdue tab (and the Overdue group on your dashboard) so it's easy to catch up.
