How to create an appointment type in Stacks
An appointment type is a bookable meeting people can reserve with you — a 30-minute intro call, a 60-minute strategy session, a site visit. You define it once (name, length, who it's for, a few rules), and Stacks gives you a shareable booking link. Here's how to set one up.
Before you start
- You'll need the Scheduling module active on your account — it's included, with unlimited users.
- Creating, editing and deleting appointment types is limited to admins and managers — team members and view-only users can't save one.
- Optional: to collect a deposit or payment at booking, connect Stripe first under Settings → Payments.
- Optional: to ask booking questions, create contact custom fields under Settings → Custom Fields — you'll pick which to ask on the form.
Step by step
- Open Appointment Types. In Stacks, go to Scheduling, open Appointment Types, and click + New Type.
- Name it and set the duration. Give it a clear name — e.g. 30-Minute Intro Call — and choose a length from the presets (15, 30, 45, 60, 90 or 120 minutes; 30 is the default). Optionally add a description (shown on the booking page) and pick a color to tell it apart at a glance.
- Choose who it's for. Under Assigned To, leave Anyone on the team to auto-assign a free member, or pick one person — then only their availability is offered for this type.
- Set your booking rules. All optional: a buffer to pad free time around each appointment, a minimum notice so slots too soon from now are hidden, and a max bookings per day cap. Leave any field at 0 to turn it off.
- Add a video option. Pick No video (in person or phone), Auto-create a video room — a free, unique link per booking with no account needed — or Use my own link and paste your Zoom, Google Meet or Teams room. Stacks adds the link to the confirmation email, calendar invite, and booking page.
- Collect payment or ask questions (optional). Require a deposit or full payment at booking (needs Stripe connected), and tick any contact fields you want to ask as intake questions — answers save straight to the customer's contact record.
- Publish it. Keep Active and Public checked, then click Create Appointment Type. Stacks generates a booking link (e.g.
/booking/30-minute-intro-call) that you can copy from the list and share.
💡
It's all free. Every part of building an appointment type — video rooms, buffers, intake questions, per-person assignment — is included at no cost, with unlimited users. AI Pro ($99/mo) adds AI and priority support, not extra scheduling features. (Collecting payment at booking just needs your own Stripe account connected.)
Good to know
- Active vs. Public. Active turns the type on; Public lists it on your booking page. Your shareable booking link only appears once a type is both Active and Public.
- The booking link is automatic. Stacks builds a URL slug from the name (e.g. 30-Minute Intro Call →
30-minute-intro-call) and keeps it unique. The list view shows the link plus a website embed snippet — click either to copy. - Auto video rooms are per-booking. Each booking gets its own unique, unguessable room link — no scheduling of rooms and no accounts to manage.
- Own link falls back safely. If you paste a "bring your own" link that isn't a valid web address, Stacks quietly switches the type back to no video rather than sending a broken link.
- Change it anytime. Editing a type updates its settings going forward; existing bookings keep their details.
Frequently asked
Do I need a Zoom or Google Meet account for video calls?
No. Choose Auto-create a video room and Stacks generates a free, unique meeting link for each booking — nothing to install or sign up for. If you'd rather use your own room, paste a Zoom, Meet, or Teams link instead.
What meeting lengths can I offer?
The duration picker offers 15, 30, 45, 60, 90 and 120 minutes, with 30 selected by default.
How do people actually book me?
Once the type is Active and Public, its booking link and an embeddable widget appear on the Appointment Types list. Share the link or drop the embed on your site. (You'll also want to set your availability so there are open slots to book.)
