How to set your availability and take bookings
Stacks turns your calendar into a self-serve booking page. You tell it which hours you work, create a booking type or two, and share a link — your customers pick an open slot, enter their details, and they're booked. Every booking lands in your CRM automatically, and it's free on every plan.
Before you start
- Scheduling is one of the built-in Stacks tools — it's free, with no add-on to buy and no limit on appointment types or bookings.
- Setting your working hours is open to admins, managers and team members. Creating and publishing booking types is an admin or manager action.
- Optional but worth doing first: connect an email provider in Settings, so confirmation emails and calendar invites go out to guests automatically.
Step by step
- Set your weekly working hours. In the left menu go to Scheduling → Availability. Stacks starts you off with Monday–Friday, 9:00 AM–5:00 PM (weekends off). Tick the Available box for each day you take appointments, adjust the Start and End times, then click Save Working Hours.
- Block off specific dates (optional). Under Date Overrides, choose a date and leave Block entire day checked for a holiday or day off — or uncheck it to set custom hours just for that one date. Add a reason like "Holiday" if you like, then click Add Override. You can add one override per date, and remove it anytime.
- Create an appointment type. Go to Scheduling → Appointment Types and click + New Type. Give it a clear name (e.g. "30-Minute Intro Call"), pick a duration (anywhere from 15 minutes to 2 hours), add a short description for the booking page, and choose a color.
- Choose who takes it and set your rules. Assign the type to a specific person (only their hours are offered) or leave it on "Anyone on the team", and Stacks auto-assigns whoever's free. Optionally add a buffer between bookings, a minimum notice, and a max per day. You can also attach a video meeting — a free auto-created room, or your own Zoom / Meet / Teams link — and pick intake questions to ask at booking.
- Publish and share your booking link. Keep Active and Public checked and click Create. Back on the Appointment Types list, click your Booking URL to copy it (or grab the embed code for your website). Share it — customers choose a date, see your open slots, pick a time, fill in their details, and land on a "You're booked!" confirmation.

It's free. Unlimited appointment types, unlimited bookings, universal calendar invites, and free auto-created video rooms are all included on every plan. The one optional extra that's paid is text-message (SMS) confirmations & reminders — those need either your own Twilio connection (any plan) or the AI Pro managed texting, where enabled by the platform. Email confirmations are always free.
Good to know
- Bookings feed your CRM. Each booking finds-or-creates the customer's contact by email and opens a deal in your default pipeline — so scheduling and your CRM stay in sync without extra work.
- A 60-day window. Customers can book up to 60 days ahead. Past dates and anything beyond 60 days are greyed out on the calendar.
- Slots follow the length. Stacks offers back-to-back openings the size of the appointment — a 30-minute type shows 9:00, 9:30, 10:00… — and hides any slot that's already booked, inside your buffer, or too soon under your minimum-notice rule.
- No double-bookings. If two people try to grab the same time at once, only the first is confirmed; the second is told the slot was just taken.
- Times in your timezone. Openings are shown in your business timezone (set in Settings). Each guest's own timezone is detected in their browser and saved with the booking.
- Calendar invite included. Once an email provider is connected, the guest gets a confirmation with a universal .ics calendar file, and you get a "new booking" notification.
Frequently asked
How do customers find my booking page?
Every public appointment type gets its own booking URL and an embeddable widget, both on the Appointment Types page. Share the link directly, or drop the widget onto your website.
Can different team members have different hours?
Yes — each teammate sets their own working hours from the Availability page, and an admin can set anyone's by switching "Viewing availability for" at the top. Assign a type to one person to use only their availability, or to "Anyone" to pool the whole team and auto-assign whoever's free.
Do I have to take payment to accept a booking?
No. Payment at booking is optional — turn on a deposit or full payment only if you've connected your own Stripe. Without it, bookings are simply free to make.
