How to import your contacts into Stacks
Bringing your contacts into Stacks takes a few minutes. If your current tool can export a CSV — and almost all of them can, including Pipedrive, Mailchimp, HubSpot and FreshBooks — you can drop that file straight into Stacks, and it'll auto-match the columns to the right fields for you.
Before you start
- You'll need a CSV file whose first row is a header (it names each column — Email, First name, and so on).
- Up to 5,000 contacts per file. Have more? Just run the import again with the next file.
- You'll need permission to create contacts — admins, managers and team members have it by default (only view-only users don't).
Step by step
- Export a CSV from your current tool. Most CRMs and email tools have an export option under their contacts/audience list or settings — e.g. Pipedrive (Contacts → export), Mailchimp (Audience → Export), HubSpot, or FreshBooks. Any CSV with columns like name, email, phone and company will work.
- Open the importer. In Stacks, go to Contacts in the left menu and click Import.
- Upload your CSV. Choose your file. Stacks reads the header row and shows you a quick preview of the first few rows so you can confirm it looks right.
- Review the proposed column mappings and correct them before importing. Standard header matching is free; optional AI matching uses workspace AI credits, including the initial Free allowance.
- Run the import. Click Import. Stacks creates your contacts — and any companies — in one pass. That's it.

Good to know
- No duplicates. Re-importing the same file updates existing contacts (matched by email) instead of creating copies — handy for refreshing your list.
- Companies come along. Map a Company column and Stacks will find-or-create each company and link the contact to it automatically.
- Custom fields. A column Stacks doesn't recognize can be saved as a custom field, so nothing from your old system gets left behind.
Frequently asked
Can I import deals or invoices this way?
Right now the importer is for contacts (which brings their companies along). Deals and invoices are added inside their own modules.
Will it overwrite contacts I've already added?
It updates matching contacts by email and adds the rest — it won't wipe anything out.
My columns have strange names. Will it still work?
Standard auto-match handles common column names. Optional AI matching uses workspace credits and still needs review.
